You’ve Got Mail: Mail Procedures and Policies

Happy first day of classes! Welcome to all incoming students, as well as new faculty and staff. We hope you feel welcome here at Barry. Should you need any assistance, the library staff are happy to help!

For those of you who are new to Barry, you may not know that the campus mail is processed through the library. The mail is handled by myself, Brittany O’Neill, and our Technical Services Coordinator, Terry Rogers.

Say hello to the faces of the mailroom!

Here is a rundown of our current mail procedures and policies for our new students, faculty, and staff (and a refresher course for the rest of the Barry community):

The Technical Services department meters all outgoing official Law School mail, as well as receiving and distributing incoming USPS mail. We also receive the campus’ UPS deliveries. You won’t see your neighborhood delivery person here: we are all employees of Barry University, not UPS or USPS.

Location and Hours
The campus mailroom is located in the Technical Services department on the first floor of the library (we are behind the mystery door between Circulation and IT). The department is open 8:00 AM to 4:30 PM, Monday through Friday. The Faculty Administrative Assistants collect mail from collection points across campus and deliver it to us no later than 10:00 AM in order to ensure timely delivery. We have this early deadline because the mail carrier and UPS driver have no set delivery times. The drivers may arrive as early as 10:00 am and as late as 5:00 pm. Anything dropped off after the USPS/UPS delivery people arrive will be held until the next business day. Should you need to drop off non-confidential mail after we close, it can be brought to the Circulation Desk during library operating hours for the next business day’s delivery. We try to deliver mail and packages to the Faculty Building within the hour following their arrival.

Outgoing USPS Mail
The deadline for outgoing mail and packages to reach collection points is 9:30 AM in order for Administrative Assistants to make their 10:00 AM deadline. Any outgoing mail delivered to us after the incoming mail has arrived will be held until the following business day. Technical Services does not seal or address mail, so all mail must be properly sealed and addressed before the staff will handle it. Any special forms (return receipt, certified mail, etc.) should also be filled out prior to us applying postage. Items in need of correction cannot be retrieved once they have been processed for delivery.

Any mail without postage must be for official Law School business. Please include the department and/or a staff/faculty name above the return address on the envelope/package. Otherwise, it will be held until the sender is identified. Please also use your department’s preprinted envelopes only. We use that information to determine which department’s account to charge, so use the correct envelope! The Law School does not pay for the postage of personal mail under any circumstances. However, you may purchase personal postage at the Circulation Desk during our operating hours.

Outgoing UPS Packages
Technical Services only handles UPS packages that are official University business, but you may call in a package pickup yourself and leave it in our department for UPS to pick up during our normal hours. All outgoing UPS packages must be sealed and adressed with a prepaid UPS label. We are not responsbile for tracking down packages and will not hold the driver.

Incoming USPS and UPS Shipments
We are happy to make timely delivery of items that we receive, but there are a few exceptions to our deliveries: incoming bulk shipments of packages, packages weighing over 30 pounds, and packages too large for the mail cart. We will contact recipients to arrange for these items to be picked up by the recipient or by the Facilities department. We do much more than mail in the Technical Services department, so we do not have room to store packages. Please make sure your mail is addressed to your name or department so we can deliver it to you (just a phone number doesn’t count)!

What We Don’t Handle
We do not handle FedEx shipments. Those are handled by the Registrar’s office. Call Melva Priest (ext. 5600) for more information regarding FedEx services. We also do not accept freight shipments.
